Service Delivery Policy

Clear information about how our activity planning consultations are arranged, what each service includes, when written materials are delivered and how we communicate with customers.

Clear plans. Agreed expectations.

Each consultation has a defined duration, fee and set of included materials. The arrangements for your booking will be confirmed before your appointment is accepted.

01. Scope of service

LET’S GO PLAY LIMITED provides paid activity and occasion planning consultations. Our service helps customers explore ideas, consider practical arrangements and organise their planning information into a useful outline.

The precise work included depends on the consultation selected and the arrangements agreed with the customer before booking. The service descriptions and fees displayed on our Services page explain the standard scope of each option.

Our consultation fees do not automatically include venue reservations, supplier bookings, event tickets, equipment hire, purchases or on-site event management. These are separate arrangements and are not provided unless expressly agreed in writing.

02. Enquiries and booking confirmation

Customers can contact us to discuss their requirements and ask about the available consultations. Submitting an enquiry does not, by itself, confirm an appointment or create a confirmed booking.

Before accepting a booking, we will confirm the relevant details, including:

  • The selected consultation and its included scope.
  • The fixed consultation fee and any separately agreed charges.
  • The appointment date, start time, duration and meeting location.
  • The payment arrangements and any information needed in advance.
  • The written materials included and their expected delivery timeframe.

A booking is confirmed only after we have communicated acceptance and the applicable booking requirements have been satisfied. Any changes to the agreed arrangements will be communicated to the customer.

03. Consultation method and location

All four standard consultations listed on our Services page are described as face-to-face appointments. The actual meeting location, date and time must be agreed and confirmed before the appointment is accepted.

Customers should not assume that a consultation will take place at our registered office or at a particular venue unless that location has been expressly confirmed. Online or telephone consultations are not included in the standard offers unless separately agreed before booking.

Customers should arrive at the agreed time and bring or provide any relevant planning information they wish us to consider. If a customer expects to be late or needs to change the appointment, they should contact us as soon as reasonably possible.

04. Consultation fees and delivery timeframes

The standard consultation options and their included written materials are set out below. The written delivery period begins after the relevant consultation has taken place, not when an enquiry is submitted, a payment is made or a booking is first requested.

Consultation Fee Appointment Written delivery
Ideas & Celebration Consultation £24.90 30 minutes, face-to-face Brief written recap by email within 2 working days after the consultation.
Group Activity Planning Consultation £47.50 45 minutes, face-to-face Activity recommendations and preparation checklist by email within 3 working days after the consultation.
Budget & Schedule Review £68.40 60 minutes, face-to-face Budget review notes and a proposed schedule by email within 5 working days after the consultation.
Detailed Planning Consultation £129.90 90 minutes, face-to-face Structured planning document, proposed schedule and preparation checklist by email within 5 working days after the consultation.
What counts as a working day?

For this policy, a working day means Monday to Friday, excluding public holidays observed in England and Wales. The day of the consultation is not counted as the first working day. For example, where a consultation takes place on a Monday and there are no intervening public holidays, a two-working-day delivery period normally ends on Wednesday.

These timeframes apply to the standard written materials listed above. If we anticipate that an agreed delivery date cannot be met, we will contact the customer, explain the expected delay and discuss an appropriate next step.

05. Written materials and delivery method

Written materials included in the selected consultation will normally be sent to the email address supplied by the customer. Depending on the service, the material may be provided in the body of an email or as a digital document attachment.

The standard deliverables are limited to the following:

  • Ideas & Celebration Consultation: a brief written recap of the agreed recommendations and planning priorities.
  • Group Activity Planning Consultation: activity recommendations, a suggested activity outline and a preparation checklist covering the main points discussed.
  • Budget & Schedule Review: notes on budget priorities, suggested adjustments, a proposed schedule and points that require further checking.
  • Detailed Planning Consultation: a structured planning document based on the agreed scope, together with a proposed schedule and preparation checklist.

These materials are prepared using the information available at the time of the consultation. They are planning guidance rather than a guarantee that a venue, activity, supplier or proposed arrangement will be available or suitable.

Customers should check their email inbox, including junk or spam folders. If an expected document has not arrived within the applicable timeframe, please contact us so that we can check the delivery status and arrange any necessary follow-up.

06. Information required from customers

Customers are responsible for providing information that is reasonably relevant to their planning requirements. This may include the type of occasion, approximate group size, preferred timing, budget range, activity preferences and any practical constraints they want us to consider.

Recommendations may be less specific where important information is missing, incomplete or changes after the consultation. We may ask for clarification where it is reasonably necessary to prepare the agreed materials.

Customers should avoid sending unnecessary personal information about themselves or other attendees. Any personal information provided will be handled in accordance with our Privacy Policy.

07. Delays, appointment changes and communication

If we need to change a confirmed appointment or anticipate a delay in providing the agreed written materials, we will contact the customer using the contact details supplied and explain the available options.

If the customer requests a change to the appointment, we will consider the request subject to availability and the applicable cancellation and rescheduling terms. A requested change is not confirmed until we have agreed it with the customer.

Where delivery is affected by missing information, a customer request to change the agreed scope, or circumstances outside our reasonable control, we will explain any material impact and agree a revised arrangement where appropriate. We will not treat a delay as permission to impose an undisclosed additional fee.

08. Additional work and changes to scope

Each listed fee covers the consultation and deliverables described for that service. Additional meetings, extensive revisions, new planning documents, expanded research or work beyond the agreed scope are not automatically included.

If additional work is requested or becomes necessary, we will explain what it involves, the proposed fee and any revised delivery timeframe before proceeding. Additional chargeable work will only be undertaken after the customer has agreed to the revised scope and price.

A customer is not required to accept optional additional work. Declining it will not remove any rights relating to the original service under the agreed terms or applicable law.

09. Third-party activities and arrangements

Our consultations may identify venues, activity providers or other options for customers to consider. Unless a separate arrangement is expressly agreed, customers remain responsible for contacting third parties, checking availability, reviewing their terms and making their own bookings.

Venue charges, tickets, supplier fees, travel, catering, equipment hire and other third-party costs are not included in our standard consultation fees.

Suggestions are based on the information available and the customer’s stated preferences. Customers should independently verify current prices, availability, age requirements, accessibility information, cancellation conditions and other details directly with the relevant provider before committing to a purchase or booking.

10. Cancellation, rescheduling and refunds

Our booking, cancellation, rescheduling and refund arrangements are explained in our Service Cancellation Policy and Terms & Conditions. Customers should review these documents before confirming a booking.

Where the contract is a qualifying distance or off-premises consumer service contract, statutory cancellation rights may apply, including a 14-day cancellation period. The application of these rights depends on the circumstances and relevant legal requirements.

If a customer asks for a service to begin during a statutory cancellation period, we will obtain any legally required express request and provide the relevant information about charges or the effect of full performance. We will not rely on a general policy statement to remove statutory rights.

Where a refund is due, it will be processed in accordance with the applicable contract terms and legal requirements. The method and timing will depend on the payment arrangement and the circumstances of the cancellation.

If we are unable to provide a confirmed consultation, we will contact the customer to discuss an appropriate alternative or any refund due under the agreed terms and applicable law.
